Voice-Messages & Fax-On-Demand

The administration of the Voice- & Fax-Recall window is divided into three
parts:
Greeting-Messages/Faxes:
The announcements and/or faxes are play/sent immediately after going off-hook.
DTMF-Code-Calls:
These announcements and/or faxes can be requested by callers with the DTMF-tones
(Touch Tone) of their telephone.
System-Messages:
These announcements are used by CoMa for remote-control. Before playing the new
messages the number and the time can be announced.
You can change the system-messages if you prefer a different language or message.
If you use a USR modem, you must record the system-messages via the modem microphone
because the provided AIFF-messages cannot be converted into the USR modem format.
An individual audio file can be played. The file must either already
be present in the respective modem format or as AIFF. If an AIFF file
is selected, it is converted automatically in the
modem format, before first playing.
A folder can be selected, which contains several voice-messages and/or fax pages.
First existing audio files are played and afterwards the fax pages are sent. The
fax pages must be present in the PDF, CoMa fax, text or rtf format. The
sequence, in which the voice-messages/fax pages are sent, takes place alphabetically.
To specify the order, you can provide e.g. the file names at the beginning with
numbers. Contents of the file names should look this way:
'01SetYourFaxToReceive.aiff'
'02Info.pdf'
'03Sample.rtf'
The voice-messages (e.g. "please switch your fax equipment now to receipt") is
played.
Then the PDF file '02Info.pdf' is sent, and then the rtf file '03Sample.rtf' .
It is also possible to play a random voice file. Several AIFF-files must be present
in the selected folder.
In order to set a new voice-message, you can simply drag & drop a voice messages
audio file onto the Recall window. Alternately, you can make a new entry by clicking
the 'New' button or with the Help-key.

The voice messages can be stored in AIFF, WAVE or modem format. An AIFF or WAVE-file
will be converted automatically into the modem format during the first call.
The USR modem cannot use AIFFs. For these modems you
must record the voice-messages directly via the modem microphone into the modem
format.
DTMF-Code:
With this code, the caller can retrieve voice messages and fax pages. The code
can contain up to 15 digits. With codes of several digits the first digits must
be 8. Additionally, two digits of equal value may not follow one another.
Situation:
Messages can be dependent on a situation (e.g. normal, lunch, vacation, etc.).
The current situation can be set in the CoMa dock menu.
So you can switch several messages e.g. for different MSNs with one click.
Weekdays and time:
A setting from 0:00 o'clock until 0:00 o'clock means that the voice-messages is played around the clock.
Called ID:
If a Called ID is set and the modem transmits the called ID, the voice message is played only at agreement.
Caller:
If a called number (MSN) is set and the modem reports the caller ID, the message is played only for that caller.
Ringtone:
An audio file can be selected, which is played via the Mac, while it rings. E.g. the name of the caller can be announced. The ringtone should be shorter than 5 seconds.
Go Off-Hook after:
The number of rings after which CoMa goes picks up can be set for each greeting
message. When set to 'Standard' the number of rings in the Preferences>General
is used. You can also set, that CoMa never go off hook for certain caller or times.
Redirect Message:
The message redirection by phone or e-mail can be activated individually for each greeting message.
The message is redirected only if it is enabled in Preferences>Voice. An individual
phone number or e-mail-address can also be set for each greeting message. If the field is empty then the
standard number/e-mail from the Preferences>Voice-Pane is used.
The entries in the recall list are scanned from top to bottom. The first entry
all criteria (situation, called ID, weekday and time) fulfilled is played/sent.
